THE JOB: The Convention Services and Catering Coordinator is responsible for providing high-level administrative support to the Directors and Managers of the Convention Services and Catering Teams, ensuring smooth operations through tasks such as preparing reports and resolving guest issues. In addition, this role includes mentoring the coordinator team, managing confidential files, and assisting with proposals and contracts to enhance overall team efficiency and effectiveness. THE STARTING RATE: $18.13 hourly THE DAY-TO-DAY: Provide mentorship and guidance on administrative tasks for the coordinator team and create and lead all training for coordinator team. Coordinate and manage the admin reports calendar. Pull and distribute reports on schedule, including individual client budget reports, item usage reports, special order reports and the BEO run. Keep confidential files organized and secure including closing event documents like client sponsor lists, affiliate bill backs and negotiated pricing for sponsors. Complete departmental ordering and oversee inventory of office supplies/amenities and special purchases; assist with new hire access to include phone/computer equipment along with Logon Service Requests (LSRs) for employees and the leadership team Assist Catering /Convention Services Team with proposals, contracts, BEOs and Event Resumes as needed, including any changes to the information, log BEO changes appropriately, and handle BEO distribution. Assist with amenity, transportation, phone line and shipping requests, group restaurant, show and spa reservations, walk popup BEOs and change logs, call to remind customers for rooming list and cutoff dates, call customer for guarantees 72 hours prior to the scheduled function, assist customer as needed in the absence of the Catering/Convention Services Manager Manage vendor invoicing through Coupa ensuring everything is submitted and tracked properly. Manage and verify the vendor revenue checkbook to stay on top of financials. Assist with the creation of CS and Catering Resumes and handle distribution of documents to operations team.
