QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS: The qualifications and skill requirements for this position include: Associates degree from an accredited institution with related administrative office experience; Proven experience and proficiency with Microsoft Office and Windows based applications to include technical expertise in database management, data entry, and word processing; Ability to function as a productive team member; Ability to be organized and achieve maximum efficiency; Extensive secretarial and clerical skills; Basic bookkeeping skills; Excellent grasp of the English language; Exceptional interpersonal and communication skills; Knowledge of college policies and procedures; Ability to work independently as well as with others and be self-motivated; Proven knowledge of all standard office machines; Ability to be able to work with a diverse population; Ability to work with the public and faculty. ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: The essential job functions and responsibilities for this position include, but are not limited to: Functioning as office manager and receptionist; Reviewing and distributing mail; Filing, composing letters, and processing correspondence; Scheduling appointments and meetings; Maintaining the calendar for the Executive Dean of Public Service Education; Initiating the semester requirements for full-time faculty as well as adjunct faculty each semester. SPECIFIC DUTIES AND RESPONSIBILITIES: The specific duties and responsibilities for this position include, but are not limited to: Completing all pay requests and time sheets for adjuncts, Faculty, and staff in the Public Service Education Department Completing load and overload tracking and pay requests for full time faculty; Receiving and checking all faculty travel requests and enter into database; Generating all requisitions for supplies for the division; Monitoring certification/recertification for the division faculty; Creating files and organizing paperwork for signature; Entering course additions, changes, etc. for each semester; Contacting students for the Dean to arrange meetings; Maintaining files; Reconciling Purchase Card purchases, receipts, and expenditures; Making room reservations for special meetings and events; Mentor Work Study student; Completing other duties and responsibilities as assigned by the Executive Dean. PHYSICAL REQUIREMENTS: This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, copier, fax, calculator, telephone, and other equipment as necessary.
