Full Job Description

The position provides confidential, executive-level administrative support to the Deputy Court Administrator of Pennsylvania. The role requires an individual who demonstrates confidentiality, professionalism, sound judgement and exceptional organizational skills, while providing high-level administrative support. The work schedule is on-site, Monday through Friday from 9:00 am to 5:00 pm with a one-hour lunch break. Job Duties Facilitates the day-to-day operations of the Deputy Court Administrator's office with emphasis on confidentiality and personal interaction. Responsibilities include answering and routing telephone calls, responding to inquiries, handling mail, preparing correspondence on official letterhead, printing envelopes and labels, arranging travel reservations, maintaining an organized filing system, and performing other general administrative duties. Facilitates the scheduling of meetings and coordinates with other support staff. Coordinates and maintains calendar and travel schedules for the Deputy Court Administrator. Assists in processing requests for senior judge judicial assignments and recusals. Proofreads all completed work to ensure accurate formatting, correct spelling, proper grammar, and adherence to established style guides. Assists in compiling and maintaining the daily list of outstanding items for the Deputy Court Administrator. Compiles and distributes printed materials and project binders for the Deputy Court Administrator. Prepares correspondence and distributes as requested. In the absence of the Court Administrator's administrative assistant, supports the daily functions of the Court Administrator's office, such as answering the phone, scheduling meetings, routing correspondence, etc. Prepares the Deputy Court Administrators monthly business expense reports. Assists the Deputy Court Administrator in preparing for meetings by organizing and assembling all meeting materials. Undertakes special projects, including data collection, research, meeting planning, and organization. Assists other departments as necessary. Minimum Qualifications Bachelors degree PLUS Two years of experience performing responsible administrative staff work; or Any equivalent combination of education and experience. Additional Requirements Working knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Adobe. Strong communication, organizational, and planning skills, and the ability to multi-task.
