From overseeing office operations and special projects to supporting strategic initiatives and external partnerships, your work will have a direct impact on hospital success and service excellence. Opportunities to Contribute Provide Exceptional Administrative and Leadership Support: Serve as a key resource to VMTH leadership by managing administrative operations, preparing and reviewing documents, coordinating communications, supporting policy and procedure development, monitoring project timelines, conducting research, and ensuring confidential information is handled with professionalism and discretion. Coordinate Schedules, Events, and Operational Activities: Manage complex calendars, organize meetings and training events, coordinate interviews, accreditation and certification activities, oversee student orientation logistics, arrange travel, and facilitate communication between hospital leadership and departments to ensure efficient operations. Support Business Operations, Reporting, and Team Success: Assist with purchasing, budget documentation, records management, correspondence, presentations, and administrative reporting while overseeing office resources, communicating organizational updates, supervising administrative staff, and promoting consistent, efficient administrative practices across the hospital. Minimum Required Qualifications Bachelor's degree or equivalent combination of education and experience. Three years of experience in office administration. The ideal candidate will also possess Experience working at an institute of Higher Education or a veterinary/medical environment Knowledge of veterinary terminology Proficiency with word processing, spreadsheets, database, and presentation software. Good Management Skills Strong Communication Skills What you need to know Salary: $50,000-$55,000/year and will be commensurate based on the selected hires education and experience. Schedule: This full-time role has a typical schedule of Monday through Friday, 8am to 5pm. Responsibilities Administrative Support Coordination Provides high-level administrative support for the VMTH administrative office, including drafting and managing correspondence and communications, scheduling appointments and managing calendar. Provides administrative support for hospital initiatives Serves as a backup for administrative support to the Hospital Board of Directors Monitors office procedures and ensures adherence to office protocols. Coordinates travel arrangements and prepares itineraries. Plans and coordinates meetings, seminars, and other special events. Makes recommendations for process improvements or administrative changes. Reviews and signs documents for supervisor. Attends meetings or committees on behalf of supervisor as needed at the Veterinary Teaching Hospital. Communication and Stakeholder Engagement Serves as a primary point of contact for the VMTH for departments. Serves as a primary point of contact for VMTH leadership, centralized units, and University services to ensure Associate Dean and Hospital Administrators are receiving the support needed. Serves as the primary point of contact for the Blinn Veterinary Technician Program. Serves as the departmental parking representative Analyzes incoming inquiries and provides proper instructions for resolution Special Projects and Reporting Performs special analyses and project summaries. Prepares and reviews operational and special reports. Assists in the development of Hospital-level guidelines and protocols. Serves as the award coordinator for the VMTH. Management Manages the administrative office to ensure effective telephone, email and mail communication are sent and received both internally and externally Oversees and manages the front desk and conference room areas of the VMTH Administration office. Coordinates the maintenance of office supplies and equipment. Supervises, trains, and evaluates the work of student workers Why Texas A&M University?
