The Support Specialist Executive in the Chiefs Office provides high-level office and administrative support to law enforcement executives, senior leadership, and other department members. This critical role serves as a liaison between the department and key stakeholders, including the City Managers Office, Mayor and Councils Office, and the City Attorneys Office. This role requires exceptional interpersonal skills, a high degree of professionalism, and the ability to maintain confidentiality at all times. The position is directly supervised by the Executive Administrative Supervisor in the Chiefs Office. PRIMARY DUTIES & RESPONSIBILITIES Prepares, issues, and monitors departmental documents requiring technical and advanced knowledge of departmental functions Coordinates travel arrangements for Department personnel Processes Department personnel orders Administrative support to the Chiefs and Executive Staff Processes confidential information Maintains, tracks and reconciles monthly purchasing card transactions Takes, prepares and distributes minutes of meetings Schedules and maintains calendars of activities and meetings Schedules conference rooms Takes and transcribes dictation Develops and maintains complex record keeping and reporting systems Assists in researching, gathering, compiling and preparing a variety of materials for technical and analytical reports Receives and responds to requests for information including Council and Management requests Maintains, modifies, and updates database information for specialized departmental functions Assists in preparations for department special events Drafts, edits, proofreads and prepares correspondence Creates reports, graphs, and presentations, some of which may be confidential Provides additional complex administrative support Additional duties as assigned This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee. MINIMUM QUALIFICATIONS & WORKING CONDITIONS An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered. Education: High school diploma or GED Experience: 3 years of executive level assistance experience including data entry and customer service experience Satisfactory completion of the previous progressions Preferred Qualifications: Experience working in a judicial or law enforcement environment Knowledge: Advanced Microsoft Office Suite Apps Training AIM training Knowledge of office practices and procedures Manual and computer filing systems Advanced knowledge of business English, spelling and math General office equipment, and personal computer with related software applications Purchase Card Training Skills: Efficiently and accurately key information using a keyboard and skills in performing data entry Strong interpersonal and organizational skills Composition grammar and spelling Demonstrate proficiency in computer applications including word processing, spreadsheets, report generation and maintenance of databases. Abilities: Establish and maintain effective working relationships with employees and citizens Communicate effectively verbally and in writing Understand oral and written instructions Handle stressful situations with tact and diplomacy Work well under pressure and meet deadlines with little supervision Work independently Maintain confidentiality Understand, interpret, and apply department or division policy and procedures Plan, organize, and prioritize work assignments Licenses and Certifications Required: CCIC/NCIC Clearance Notary Certificate Driver's License Defensive Driving completed through COA within 6 months of employment Essential Personnel: When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel Physical Demands: Medium work that involves moving no more than 40 pounds with or without assistance at a time Frequent lifting, carrying, walking and standing Hand/eye coordination to operate computer keyboard Vision to read and interpret reports, documents and other written information Frequent speech communication and hearing to maintain communication with employees and citizens Occasional Standing/Walking- Occurs up to 31 minutes to 2.5 hours per shift Work Environment: Works primarily in clean, comfortable office/cubicle environment with shared equipment Equipment Used: Frequent speech communication and hearing to maintain communication with employees and citizens This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment For Veterans preference: Please show all of your employment history, including military service and related documentation (DD214) on the application.
