Department BSD E&E - Administration About the Department The Department of Ecology & Evolution (E&E) hosts diverse faculty and student interests in the ecological and evolutionary processes that underlie patterns of life on earth. The research interests of our faculty include population genetics, molecular evolution, quantitative genetics, animal behavior, plant and animal ecology, evolutionary theory, systematic paleontology, and related subjects. Job Summary The Operations Manager will manage the day-to-day operations of the Department of Ecology & Evolution, collaborate closely with the Faculty Chair and the Basic Science Executive Administrator to provide operational support. The job provides professional support and solves straightforward problems for a broad range of business operations and academic activities. May develop and implement office procedures and policies and ensures compliance. May prepare and monitor the budget for a unit. Responsibilities Provide administrative and operational support for research, and educational missions and related projects. Liaise with appropriate BSD and Departmental staff to help coordinate fiscal and budgetary affairs and triage personnel issues related to staff. Ensure compliance of office staff with relevant offices, University and other policies and guidelines. Support programmatic and support staff. Work closely with EA, Service Delivery Units and BSD Center teams to help execute ideal recruitment, onboarding, and hiring practices for new faculty and staff. In partnership with the EA and People Services Delivery Unit, monitor and assist in the academic appointment process and onboarding for new faculty and staff and assist in transitions and other section, staff and faculty needs. Assist Faculty Chair and Executive Administrator with operational and administrative needs as requested. Assist in facilitation of department meetings and invited speaker workshops: schedule meetings, collect reports, create agendas, send reminders and provide logistical support. Provide support for data collection to support the budget processes, effort reporting and tracking, and research operations. Examine and apply information thoughtfully to help solve problems and improve and optimize processes. Manage overall administrative team functions and proactively identify and execute opportunities for clarification and improvement of processes and projects. Respond to all facility problems such as furniture ordering and repairs, telecommunication requests, plant department requests, environmental issues, and all emergencies such as power outages, floods etc. Coordinate construction projects, implement space assignments, assist with space planning , key management, respond to space needs. Work closely with Executive Administrator to manage departments Physical Equipment inventory. Manage day-to-day facility issues and monitor overall environment. Responsible for training office staff on office procedures and compliance protocols. Coordinates special projects. Researches and analyzes data to create reports, and may create other reports for grants and contracts. Performs other related work as needed. Minimum Qualifications Education: Minimum requirements include a college or university degree in related field. Work Experience: Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline. Certifications: --- Preferred Qualifications Education: Graduate degree in related field. Experience: 5 years of work experience in a related job discipline. Demonstrated experience managing multiple projects, competing deadlines, and budgets. Experience in handling coordination of large initiatives, including logistics and adhering to timelines. Preferred Competencies Commitment to providing a high level of service and working in a team environment. High degree of professionalism. Attention to detail. Ability to handle confidential information with utmost discretion. Excellent interpersonal, verbal, and written communication skills. Ability to handle multiple tasks simultaneously and under tight deadlines. Strong analytical and organizational skills. Familiarity with basic data organization and analysis.
