Department BSD SUR - Colon and Rectal: Administration About the Department The Section of Colon & Rectal Surgery features faculty and staff who tackle complex cases of inflammatory bowel disease, colorectal cancer, diverticulitis and pelvic floor disorders. UChicago Medicine is nationally recognized for our surgeons' expertise in complicated benign and malignant disorders of the colon, rectum and anus. We are at the forefront of surgical innovation and highly skilled in minimally invasive surgical techniques such as advanced laparoscopic surgery, transanal endoscopic microsurgery (TEM), robotic surgery and endoscopic procedures. The section's educational endeavors focus on training the next generation of colon and rectal surgeons. The colon and rectal surgery fellowship program trains surgeons in the multidisciplinary care of patients with colon and rectal pathologies, provides opportunities for high quality research, and prepares the surgeons for pursuit of academic careers. Fellows can expect a central role in comprehensive multidisciplinary patient management and training in innovative approaches such as robotic surgery and transanal endoscopic microsurgery the leading edge of colon and rectal surgical care in the 21st century. Job Summary The Senior Operations Coordinator is primarily responsible for providing operational and administrative support for the Department of Surgery. The Senior Operations Coordinator works under the general direction of the Operations Manager and Section Administrator. The Senior Operations coordinator will manage departmental communications, educational programs, support departmental leadership and academic affairs, on-boarding of new hires and sponsored staff, and the establishment and maintenance of files and databases. Responsibilities Provides high level technical and administrative support independently to General/Colorectal Surgery faculty members for a diverse set of activities aligned with the Departments needs. Manages and implements systems to organize, communicate, and manage key priorities and projects on behalf of faculty members. Develops, composes, and oversees internal and external communications including presentations, correspondence and other written materials. Oversees Department communications, including the development of newsletters and websites for targeted audience. Compiles, produces and disseminates departmental information and reports. Creates, writes, edits and posts articles, news, and program summaries to website or social media platforms. Participates in the administrative aspects of faculty appointees recruitment, hiring, reappointment, and promotions workflow, which includes serving as a medical staff office liaison, managing applications, coordinating reappointment memos, and working collaboratively with the faculty committee, and the Deans office. Coordinates special projects, functions, and events related to the Department including large scale complex events, involving multiple parties, including foreign visitors. Manages continuing medical education (CME) courses, including the completion of CME applications and coordinating all pre and post event-planning details. Participates in process and performance improvement by identifying, analyzing, and enhancing existing processes to achieve better outcomes. Leads training and orienting staff as needed. Independently maintains accurate scheduling of physicians on call. Participates in overseeing and maintaining the physical office space, ordering equipment repairs, upgrades, and office supplies. Has a complete understanding of the Department and University financial policies; creates purchase orders; and processes invoices for payment against purchase orders or general expense reimbursement. Assists with the development and management of continuing education programs in the department. Assists with the management of GME training programs and medical student rotations. Assists monitoring finances for the clinical section. Provides management with regular updates and ensures that spending limits are adhered to and are within budget. May act as a liaison between the section and other University departments. Performs other related work as needed. Minimum Qualifications Education: Minimum requirements include a college or university degree in related field. Work Experience: Minimum requirements include knowledge and skills developed through < 2 years of work experience in a related job discipline. Certifications: --- Preferred Qualifications Education: Bachelors degree in public health, healthcare administration or related field, strongly preferred. Experience: 2+ years administrative experience, strongly preferred. Preferred Competencies Demonstrated flexibility and ability to multi-task on frequent and constantly changing demands. Ability to effectively communicate with faculty, staff, and various administrative offices at all levels in the University. Excellent organizational skills. Attention to detail.
