Job TitleBusiness Coordinator I Agency Texas A&M University Department Finance - University Libraries Proposed Minimum Salary$3,750.00 monthly Job LocationCollege Station, Texas Job TypeStaff Job Description A Glimpse of the Job The Business Coordinator I provides support and coordination of a variety of business activities requiring independent judgment, including reviewing business documents and assisting in developing, monitoring, and reporting accounts and budget data as directed by supervisor. Essential Duties/Tasks: Reconciliation Reconciles over 60 complex university financial statements. Reviews student wages reports. Investigates and resolves routine and non-routine errors on financial transactions. Reviews FAMIS encumbrances and communicates with the A/P processor to resolve outstanding encumbrances. Accounts Receivable Responsible for A/R billing including monitoring master billing, resolving past due invoices, coordinating with Financial Management Office and Libraries. Processing payment/cancellation. Responsible for system schools and JLF billing (from invoicing to payment). Payment Card Management Serves as backup to Sterling C. Evans Library, Cushing Memorial Library & Archives, and West Campus Library payment card purchases reallocation and coding, ensuring the security of credit card numbers and maintaining documentation. Contract Administration and Speaker Fees Records and tracks all library related contracts and speaker agreements. Submits all contracts and appropriate documentation in AggieBuy and follows up to ensure timely approval and processing of contracts. Works closely with the A/P processor in business services to make sure completed contracts are processed for payment. Deposits Processes all deposits for Marketplace. Meets regularly with AskUs and MSL to prepare Marketplace deposits for student payments. Oversees audit of Marketplace deposits to FOLIO records. Communicates payment handling procedures and changes in policy to library units to insure compliance. Records Management Ensures all electronic records, (Business Services E-File room) are maintained for the required retention period. Scholarships Payment of scholarships (McLemore and student scholarships awarded by the libraries) through SPARTA and AggieBuy. Maintain scholarship report. Unit Assistance Provides backup support to purchasing and accounts payable functions. Assists in year-end close out. Assists other business services staff as needed. Participates in special projects. Participates in the cross-training of classified staff and training of student employees. Required Education and Experience Bachelors degree or equivalent combination of education and experience. Two years of related experience in general office, accounting, or personnel operations. Preferred Qualifications Three years of basic accounting experience. Previous experience with FAMIS, AggieBuy, or Emburse. Knowledge, Skills, and Abilities Ability to multitask and work cooperatively with others. Other Requirements and Factors This position is security sensitive. This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures.
