Your responsibilities will include managing the recall system, reviewing safety events, overseeing the daily operation of the safety event reporting system, and supporting policy development. Your expertise will help drive safe, efficient, and reliable processes every day. Key Position Details: 1.0 FTE (80 hours per two-week pay period) 8-hour day shifts No weekends Remote position Job Description: Requires someone with close attention to detail, self-initiative, organizational and project management skills, the ability to work and think independently, with excellent critical thinking skills. Primary role is responsible for independently maintaining the recall management system and functions as part of the Risk Management team reviewing safety events, daily management of the safety event reporting system and supporting policy related work. Principle Responsibilities Maintain the daily functions of the recall management system and safety event reporting system. Recall management: primary oversight of the recall management system. Independently review and analyze recall management data, compile reports, approve and add appropriate users, remove users no longer needing access, maintain facility lists, maintain integration of data from other sources within the organization. Escalate issues as needed to Risk Managers or other key leaders and partner with Risk Management team members to address recalls that require additional actions. Safety Event Reporting system: independently review and analyze patient and visitor safety reports to apply the appropriate severity code. Review and analyze daily, weekly, and monthly reports to ensure data integrity, reviewing access requests and submit tickets to ensure appropriate leaders have necessary access, provide training for users, set up reports and dashboards, review requests for enhancements and use critical thinking skills to make recommendations for changes, support Risk, IS, and Safety/Quality leaders as needed with overall safety event reporting system. Provide support and guidance as new modules are added to application. Maintain policy related functions. Risk Management owned policies: manage renewal process by working within the Allina intranet and the policy management system in collaboration with the Risk team members and subject matter experts. Review policy statuses, run reports, and ensure accurate and up to date policy content. Provide content recommendations as needed. Risk Management as stakeholder policies: point-of-contact for policy owners, review for appropriateness of Risk Management being a stakeholder, collect feedback from Risk Management team, collate feedback and send back to policy owners. Serve as a participant in the System Policy Council, provide guidance and assistance to leaders throughout the organization as needed regarding the policy approval process, serve as a resource for questions about policy templates, how to use the policy management system, and assist as needed to post the policy documents on the Allina Health intranet. Document Management and Data Management Serve as the Risk Management Departments internal expert on the safety event report/grievance management system to pull data, present to risk and legal team for analysis, and assist in developing reports and dashboards for presentation to various system leadership teams. Research, analyze, and recommend best practice information for risk team. Must be proficient with Microsoft Office tools. Manage the Risk Management page on the Allina intranet. Organize and update the Risk related Teams groups in MS Teams. Take minutes for various meetings and send out invitations as needed. Draft safety alerts and advisories per direction of Risk Managers. Support risk management projects needs Develop timelines, flowcharts, presentations, and documents related to risk project work, maintain organization of projects as needed. Other duties as assigned. Required Qualifications Associate's or Vocational degree in Healthcare/Project Management/Business Administration 2 to 5 years experience in Healthcare administration or project management, familiarity with healthcare regulatory compliance Preferred Qualifications Bachelor's degree in Healthcare/Project Management/Business Administration Licenses/Certifications Certification/License in healthcare preferred Physical Demands Sedentary: Lifting weight up to 10 lbs. occasionally, negligible weight frequently Pay Range Pay Range: $27.65 to $37.90 per hour The pay described reflects the base hiring pay range. Your starting rate would depend on a variety of factors including, but not limited to, your experience, education, and the union agreement (if applicable). Shift, weekend and/or other differentials may be available to increase your pay rate for certain shifts or work.
