Summary/Job Purpose: Provide administrative support to ensure efficient operation of the Chicago office. This role will support members of the leadership team and involve a variety of tasks including managing travel arrangements, processing invoices, scheduling meetings, and taking notes during meetings. Essential Functions: Coordinate and book travel arrangements for executives and team members, including flights, accommodations, and transportation. Process payment requests for invoices accurately and in a timely manner, ensuring adherence to company policies and procedures. Manage calendars and schedule appointments, meetings, and conferences, optimizing time efficiency for all parties involved. Participate in the self-audit process by setting up the audits and running reports for management. Take comprehensive and accurate notes during meetings, ensuring key points and action items are captured and communicated effectively. Prepare and distribute correspondence, memos, reports, and presentations as needed. Assist with special projects and tasks as assigned, demonstrating flexibility and adaptability in a fast-paced environment. Education and Experience Required: Diploma/Degree & Experience Bachelors degree, preferred. 5+ years administrative experience Experience providing administrative support to executives within a corporate environment. Must be professional, self-motivated, flexible, open to growth and challenges and a proven team player Ability to multi-task in a fast-paced dynamic environment while demonstrating a resourceful, positive attitude and a superior work ethic Excellent attention to detail and highly organized and able to successfully handle simultaneous priorities, with speed and accuracy A strong sense of personal integrity; able to maintain confidentiality and handle highly sensitive information; demonstrate good judgment and decision-making Professional and articulate communication skills; able to seamlessly interact with experienced professionals. Ability to remain calm and professional under pressure Demonstrated resourcefulness, with ability to anticipate needs, prioritize responsibilities, anticipate and solve problems, and take initiative Salary Range: $75,000 - $100,000.00 The salary range listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement. Work Schedule: Must work physically in our Chicago office Monday - Friday.
