About the job: Job Description: We are seeking a highly organized, proactive, and detail-oriented Assistant to provide comprehensive support to senior leadership while also assisting broader team operations. This role combines traditional executive assistant responsibilities with team administration, project coordination, and office support functions. The successful candidate will serve as a trusted partner to executives, helping manage priorities, streamline processes, and ensure the smooth day-to-day functioning of the team. The ideal individual is adaptable, professional, resourceful, and capable of managing multiple priorities in a fast-paced environment. Responsibilities: Executive & Administrative Support Provide dedicated administrative support to senior executives and business leaders. Manage complex and frequently changing calendars, including internal meetings, client meetings, and cross-functional engagements. Coordinate domestic and international travel arrangements, including flights, hotels, rail transportation, car services, visas, and detailed travel itineraries. Proactively manage travel disruptions, schedule changes, and last-minute adjustments. Prepare, submit, and reconcile executive expense reports in accordance with company policies and deadlines. Process invoices, purchase orders, vendor payments, and reimbursement requests as needed. Coordinate meeting logistics, including conference room bookings, catering arrangements, visitor registration, and audiovisual requirements. Prepare meeting materials, presentations, agendas, briefing documents, and follow-up action items. Monitor and manage executive inboxes when required, ensuring timely responses and prioritization of key matters. Maintain confidential files, records, and sensitive business information with discretion. Provide administrative support for business reviews, leadership meetings, client events, and offsite meetings. Team Support & Office Coordination Serve as the primary administrative resource for the broader team. Coordinate onboarding activities for new hires, including technology requests, seating arrangements, orientation schedules, and team introductions. Assist with interview scheduling and candidate coordination throughout the recruitment process. Maintain team distribution lists, organizational charts, contact directories, and vacation calendars. Coordinate training sessions, town halls, team meetings, and employee engagement activities. Support management with tracking mandatory training, certifications, and compliance requirements. Manage office-related requests and liaise with Facilities, Technology, Human Resources, and other support functions. Business Operations & Project Coordination Assist with department reporting, metrics tracking, and presentation preparation. Track action items, project milestones, and key deliverables across the team. Support budget administration, invoice management, and expense tracking. Coordinate recurring business processes and ensure adherence to internal deadlines. Identify opportunities to improve administrative processes, documentation, and team efficiency. Provide ad hoc support on special projects and strategic initiatives. Requirements: Bachelor's degree preferred or equivalent professional experience. 37 years of experience supporting senior executives, teams, or business leaders. Exceptional organizational and time management skills. Strong written and verbal communication abilities in English and Spanish. High proficiency in Microsoft Office Suite/Google Suite. Ability to manage multiple priorities while maintaining attention to detail. Demonstrated ability to handle confidential and sensitive information. Preferred Experience within financial services, banking, capital markets, consulting, or other professional services environments. Familiarity with expense management and travel booking platforms. Experience supporting multiple stakeholders simultaneously.
