Job Description Ares is seeking an Analyst for our Corporate Services Department. The Analyst will provide a wide variety of general services to the company and will be responsible for working with the Corporate Services team in managing certain facilities-related activities in our New York office. PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES Monitor Facilities helpdesk and respond to requests promptly & courteously with a strong customer service focus. Liaise with building management staff to report and resolve any issues relating to the physical operation of the office temperature adjustments, restroom issues, light changes, etc. Assist with managing vendor relationships with office service providers (copiers, towel services, shredding services, office & kitchen supplies, etc.) Assist with daily Print and Presentation binding request. Keep common office areas stocked and clean. This includes copy centers, printer stations, conference rooms and other project areas. (Frequent lifting of boxes up to 50 lbs. is necessary) Provide assistance for large meeting set-ups which may include light moving of furniture and supplies, assist with catering set-up and removal. Maintain consistent inventory of office supplies. Replenish items when necessary and maintain complete records for billing purposes. Receive and distribute all incoming packages and mail. Process outgoing mail as necessary. Ensure all office equipment is in proper working order (including replenishment of paper, toner, staples, etc.). Contact repair technicians when necessary. Performing additional ad hoc special project work as necessary Work with both internal and external groups, as well as management, to ensure that objectives are met. Assist team with coordinating desk area as necessary for new hires and visitors. Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement. Set-up conference rooms including furniture configuration, office supplies and maintaining all facilities related items HVAC/Light bulb replacement Handle sensitive and/or confidential documents and information Assist with overtime projects (onsite with vendors after hours) QUALIFICATIONS Education: College degree preferred but not required Experience Required: 1-3 years experience in a corporate services environment Knowledge of buildings, maintenance and service Presentation Printing and binding Copy room inventory/replenish inventory Experience of liaising with clients, tenants, consultants and local authorities Managing third party contractors (in-house and externally) General Requirements: Comfortable interacting with all levels of personnel Exceptional attention to detail and organizational skills Strong verbal and written communication skills Demonstrates enthusiasm and flexibility; ability to think ahead Proficiency in MS Office Reporting Relationships Facilities Manager, U.S. Eastern Region Compensation The anticipated rate for this position is listed below. Total compensation may also include a discretionary performance-based bonus. $55,000 - $60,000 The firm also offers robust Benefits offerings.
