This position is eligible to enroll in the City and County of Denvers 457b retirement plan. This position is not eligible for other additional benefits. Location and Schedule This is a part-time, hourly role, and will work an average of 37 hours per week, with a maximum of 39 hours per week. This position is in person and must work at Denver International Airport for all days. The current schedule for this position is a Sunday-Monday 11 a.m. 7 p.m. and Thursday-Saturday 7 a.m. 3:30 p.m. and is subject to change based on operational need. During training schedules might be adjusted to ensure staff is available to train. Schedules are subject to change based on operational need. What You'll Do Reporting to the Volunteer Program Manager within Customer Service, the Part Time Program Coordinator is a key member of the Customer Service Team. This position will support the Manager and other Program Coordinators in the oversight of DENs Ambassador Volunteer Program, Teen Navigator Program and Canine Airport Therapy Squad (CATS). DENs Volunteer Program has over 375 volunteers, fulfilling over 40,000 hours annually. This program has Ambassadors, Teen Navigators and our Canine Airport Therapy Squad (CATS). The Part Time Program Coordinator will be responsible for daily volunteer operations, to include the tracking, documenting and reporting of volunteer hours and engagement data. Additionally, the Program Coordinator will be responsible for completing administrative tasks tied to the recruitment and training of new volunteers in the Ambassador and CATS Program, while also providing enhanced training opportunities to existing volunteers through briefings, developing additional training, tours, and monthly meetings. Other duties will be assigned based on program needs. Key responsibilities will include: Explains policies, processes, applicable laws, rules, regulations, and guidelines specific to a program to volunteers Learn and use the online volunteer database called Engage Denver for tracking time, managing schedules, developing trainings, running reports and sending volunteer communications. Monitor, respond to, and prioritize daily emails and inquiries. Resolves problems, functions as an information clearinghouse for program questions, and provides information and advice to current and potential program participants on program requirements Coordinates with internal and external stakeholders to ensure the volunteers are supporting the overall DEN operation. Follows up on any action items as needed Ability to resolve problems encountered during daily operations and determine appropriate solutions Draft, format, and distribute professional presentations, reports, and correspondence. Assists with the recruitment process which includes hosting open houses, conducting interviews, facilitating background checks and conducting training orientation whether in person or digitally and overall tracking of onboarding steps in a digital database Maintain organized electronic and physical filing systems for volunteer and program data. Update and manage program databases and spreadsheets for quick information retrieval including utilizing OneNote. Develops continuing education training for the volunteers and is able to present and share the training across the volunteer program Support the planning and execution of large-scale volunteer recognition events and meetings, which could look like solicitating donations, managing invitations and RSVPs, and logistical support for event. Collects and shares feedback from the volunteers through multiple sources to collect information on the quality of the program and volunteer satisfaction Contributes to the development of the performance enhancement plan, documents performance of volunteers and provides performance feedback Participates at DEN and off- site events to promote the programs within the community and support local events Assists with duties as assigned which can include supporting the Customer Service Department or other DEN operations What You'll Offer Our ideal candidate has some or all the following experience, skills, and characteristics: Experience working with a large and diverse workforce Experience working with volunteer programs a plus Ability to work in a dynamic work environment, under pressure and meet deadlines Strong written and verbal communication skills, with the ability to explain processes, procedures, and information to volunteer staff Experience with administrative tasks, ability to handle multiple projects and help keep processes organized and tracked Strong presentation skills including ability to develop presentations and present to diverse audiences Ability to walk and be on your feet for long periods of time if needed and lift up to 30 lbs. Required Minimum Qualifications Education requirement: Graduation from high school or the possession of a GED, HiSET or TASC Certificate. Experience Requirement: Three (3) years of full performance office support/clerical work (type and level of an Administrative Support Assistant III). Education/Experience Equivalency: Additional appropriate education may be substituted for the minimum experience requirement. License/Certifications: Requires a valid Driver's License at the time of application. Licenses and certifications must be kept current as a condition of employment. FBI Background Check FBI criminal background check is required for all positions at Denver International Airport (DEN). Employees are also required to report any felony convictions and/or moving violations to maintain this clearance and be eligible for continued employment. By position, a pre-employment physical/drug test may be required. Shift Work, Snow Duties, and Emergency Incidents Denver International Airport is a 24/7/365 team operation. If staffing challenges arise, weather conditions warrant, or an emergency crisis occurs, all DEN employees will be required to work extended hours and/or alternative shifts (including nights, weekends, and holidays).
