This position performs specialized office support activities associated with the evaluation, interpretation, verification and correction of information derived from legal documents authorizing the detention, transfer and/or release of inmates into/from the Department of Corrections facilities including review of documentation, evaluation of court commitments for sentence disposition, and completion of forms and data entry of information in the computerized record system. Ensures correct accounting in the inmate trust funds, correct billing to the responsible party or originating agencies, and correct processing of Bails, Bonds and court dockets for State, District and Municipal courts. This position requires a typing test with a minimum of 35 net WPM to be taken online. A testing link will be sent to you via email. (This excludes Yakima County Sheriff's Office and Department of Corrections) Responsibilities: Creates and prints various computer reports such as release, lists etc. Reviews, edits and searches for information in the computer inmate management system such as case numbers, court dates, courtroom locations and court appointment schedules for release of inmates. Searches for and verifies information pertinent to inmate release in the Discus and Scomis system; creates teletypes, sending information to other agencies through the WACIC/NCIC and Liberty NET systems. Reviews Investigation Narratives provided by the arresting agency to verify correct application of RCWs, and to correct data entry, if necessary. Completes Booking file review for accuracy. Court documents reviewed include agency citations, warrants (for correct bail amounts, charges and signed/served verification). Contacts other courts, Law Enforcement and Federal Agencies to correct discrepancies or to resolve questions. Creates Bail Bond Reports. Receives updated court schedules and purges outdated schedules and files. Files current intake documents appropriately according to established procedures. Assists Records Division with the filing of master inmate files. Disposes of archived agency documents as outlined by the records retention schedule. Assists Records Custodian in the collection, copying & dissemination of inmate records for requests received under the Washington State Public Disclosure Request Act. Distributes new or updated information from courts and agencies including: new warrants, new court schedules, court ordered release or other information to other Department of Corrections sections, County departments or other jurisdictions according to procedures or jurisdictional need. Gathers information from the inmates during a booking interview; verifies intake property belonging to inmates; performs warrant checks on all releases and ensures necessary steps are taken for the warrant to be served. Reviews court commitments prior to sending them to the Disposition section, including calculation of commitments (for 5 or less days incarceration). Enter funds received into a cash machine and balances the machine daily, reconciling the checkbook for the inmate trust account. Balances medical billing payments; releases money from inmate trust accounts. Answers multiple line phones, and responds to inquiries from Law Enforcement Agencies, Courts, Attorneys and the general public regarding a number of different issues related to the current status of an inmate. Routes the call appropriately up the chain of command if unable to answer the inquiry. Other duties required. Experience and Training: High School Diploma or GED plus Three (3) years general clerical experience including experience related to corrections support, accounting, customer service or other duty assignments of the position; or an equivalent combination of education and experience which provides knowledge, skills and abilities sufficient to successfully perform the essential duties of the job. Required: Typing/Keyboarding requirement: 35 wpm (For Non-DOC employees) Must meet standards of the department in successfully completing a thorough criminal history background check, including fingerprinting and polygraph examination Successful completion of financial background investigation and general employment verification Preferred: Experience using specific software programs: Word, Excel, Protrak, Spillman, Liberty, Discus/Scomis, NCIC and WACIC. Working Conditions: Work is within a lock-up facility. Position requires: stooping, kneeling, crouching, reaching, mobility, fingering, grasping, talking, hearing, seeing and repetitive motions.
