Department/Unit: Facility Maintenance Work Shift: Day (United States of America) Salary Range: $40,495.10 - $52,643.64 Performs secretarial, clerical and general office duties, which include handling and processing of requisitions, check requests, purchase orders, and utility bills. Files all related paperwork for the above, as well as personnel filing. I. QUALIFICATIONS Have a minimum of Associates Degree in Secretarial Science or equivalent and at least two years of experience as executive secretary or a high school degree and/or Secretarial Program Certificate and at least seven years of progressive secretary experience. Must be able to communicate well verbally, be very organized and self-motivated. Experience in MS Office Suite required. II. BASIC FUNCTIONS Performs secretarial and other administrative duties for the entire department, including foremen, supervisors, Directors and upper management, which require above average tact and skills. Must exercise considerable independent judgment and discretion in the handling of confidential data and effect completion of tasks and projects in a timely fashion. III. MAJOR TASKS, DUTIES AND RESPONSIBILITIES 1. Performs secretarial, clerical and general office duties, which include handling and processing of requisitions, check requests, purchase orders, and utility bills. Files all related paperwork for the above, as well as personnel filing. 2. Acts as receptionist to the office: screens telephone calls, walk-ins and begins problem resolution whenever possible. Follows up to make sure that the problem has been solved to the satisfaction of all concerned. 3. Types, copies and distributes material, as necessary. 4. Must be proficient in the use of all Microsoft Office applications, including Word, Excel and Access. 5. Responsible for the transcription and distribution of minutes for the BOC Committee. 6. Sets up meetings and arranges appointments for management. 7. Assists in training new employees in office procedures. 8. Types yearly employee evaluations containing confidential information, including salary 9. Updates departmental spreadsheets and databases with employee information. 10.
