Job Summary The Talent Acquisition Assistant plays a key role in supporting the recruitment and onboarding process for a variety of roles across the organization. This position focuses on maintaining consistent communication with applicants, guiding them through the hiring process, and ensuring a smooth transition from applicant to new hire. Essential Functions Promptly contact applicants via phone, text, or email after they apply to initiate engagement. Maintain ongoing communication with candidates to provide updates, answer questions, and keep them informed of next steps. Follow up with unresponsive applicants and re-engage those who pause in the process. Clearly communicate job expectations, scheduling requirements, orientation details, and anticipated start timelines. Confirm attendance for scheduled orientations and assist with rescheduling or addressing barriers as needed. Document all candidate interactions in the applicant tracking system (ATS) and internal records. Collaborate with internal teams to ensure alignment and coordination throughout the recruitment and onboarding process. Identify trends or common drop-off points and offer insights to improve process efficiency and candidate engagement. Support the generation of offer letters, orientation reminders, and onboarding communications. Represent the organization positively and professionally in all candidate-facing interactions. Assist with hiring events, outreach efforts, or general recruitment-related tasks as assigned. Qualifications Strong written and verbal communication skills with a welcoming, professional tone. Excellent organizational skills and ability to manage a high volume of candidate outreach. Experience in recruitment, outreach, customer service, or other communication-driven roles is preferred. Familiarity with applicant tracking systems or similar tools is a plus. Self-motivated and proactive, with a strong sense of urgency and follow-through. Interest in or exposure to the healthcare or human services field is a plus but not required. Education & Experience At least 1 year of experience in a role involving outreach, customer support, or recruiting preferred. Bachelors degree preferred or equivalent relevant experience. Work Environment & Physical Requirements On-site role based in Rockville, MD. Full-time, 40 hours per week. Regular use of computers, phones, and office tools.
