Job Description: POSITION SUMMARY: The Flight Scheduling team is a critical component of the 24/7 Transplant Logistics Command Center in Andover, MA.This team ensures that TransMedics' aircraft are optimally scheduled to support life-saving missions across the country, balancing operational efficiency with regulatory compliance and safety. Flight Schedulers leverage a deep understanding of aviation operations, Part 91/135 regulations, and logistical planning to execute complex missions under time-sensitive conditions. Responsibilities include end-to-end scheduling of aircraft, flight coordination, and proactive management of any operational challenges to minimize delays and ensure mission readiness. This is a fast-paced, highly dynamic role that requires attention to detail, flexibility, strong teamwork, a proactive approach, and sharp analytical thinking. Flight Schedulers typically work approximately 15 twelve-hour shifts per month on a rotating schedule: 4 days on, 3 days off, followed by 3 days on, 4 days off including nights, weekends, and holidays. RESPONSIBILITIES This position is responsible for, but not limited to, the following: Coordinate and schedule aircraft and crew duty to ensure timely and efficient mission execution. Monitor and assess NOTAMs, TFRs, weather conditions, and airport slots to ensure operational readiness. Proactively secure PPRs and airport slots as required. Monitor real-time mission activity and respond quickly to delays or disruptions. Identify and resolve potential conflicts related to crew duty time, aircraft availability, or maintenance requirements. Ensure compliance with all FAA Part 135 regulations and internal company policies. Track crew duty/rest times to ensure adherence to federal and company safety standards. Collaborate with Maintenance teams to coordinate aircraft cleaning, repositioning, test flights, and scheduled maintenance. Support fatigue mitigation efforts by factoring rest periods and efficient routing into flight schedules. Work closely with departments across the organization to support TransMedics mission-driven operations. Participate in departmental projects and initiatives as needed. Maintain a high standard of communication, professionalism, and accountability within the 24/7 Command Center environment. TECHNICAL SKILLS Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint), SharePoint, and internet navigation. Proficiency in using industry-specific software and tools with the aptitude to learn new software. Familiarity with travel management systems such as AmTrav or similar platforms. MANAGEMENT RESPONSIBILITIES This position will not have management responsibilities PHYSICAL ATTRIBUTES General office environment sitting for extended periods at a computer. Use hands and fingers for typing and operating equipment. Have good vision and hearing to communicate with staff. Possess basic organizational skills to manage complex schedules. MINIMUM QUALIFICATIONS High School Diploma required 3 plus years of experience in Part 135 operations and a comprehensive understanding of Part 91/135 FAA regulations PREFERRED QUALIFICATIONS Bachelors degree and Dispatch Certificate preferred Strong personal and work ethics along with a high level of integrity. Excellent interpersonal, organizational, leadership skills, and communication skills (both written and oral). Ability to work effectively in a fast-paced, dynamic environment and adapt to changing business needs. Calm and efficient under pressure with strong decision-making and problem-solving abilities. Strong analytical skills and the ability to think creatively. Attention to detail and strong multitasking skills to manage competing priorities and meet tight deadlines. Self-motivated and capable of working independently as well as collaboratively within a team. Proficient in basic math calculations, including decimals, time conversions, as well as a 24-hour clock format, and UTC. The expected base salary range for this role is $100,900-$125,900 which represents the companys current good-faith estimate of compensation for this position.
