POSITION SPECIFICS The Education Policy Studies Department is seeking to hire an experienced administrative professional as an Academic Program Coordinator to primarily support its Education and Public Policy (EPP) program and the World Campus graduate program. The Academic Program Coordinator will ensure smooth operations within the programs by collaborating with and supporting faculty, staff, and students; responding to program inquiries; providing student support service (including with internships), and maintaining records. This position is also vital to the programs by coordinating and planning program-related virtual and in-person events (e.g., orientations, receptions, and workshops). More specific responsibilities of the Academic Program Coordinator include but are not limited to: Student Support Service: Create and maintain databases (e.g., of each programs alumni) Maintain and update student records, tracking academic progress and milestones Ensure accurate transcript records and graduation lists Assist with course scheduling, academic procedures, and resolving student issues; manage academic forms Plan an information session for students about internships Assist instructors who teach internship-related courses Facilitate the application process for internships; document completion of internships Administrative Support Serve as first point of contact for students, faculty, and visitors Provide logistical and administrative support to faculty and department leadership; assist in preparations for informational webinars Manage course scheduling, room bookings, and departmental communications Assist with exit interviews and surveys graduating students are asked to complete Collaborate with the College of Educations recruiter to maintain contact with prospective EPP students Event Coordination Plan and coordinate recruitment, orientation, celebrations, and academic events for the EPP and World Campus programs Manage speaker series and undergraduate research showcases Another duty of this position will be to develop, update, and maintain program resources, such as handbooks and website information. The Academic Program Coordinator will work independently on complex projects and utilize organizational skills to complete the responsibilities of this position. After training, the Academic Program Coordinator will also work with various software including Microsoft Office 365, SAP Concur, and Activity Insight (to assist faculty members with collecting, organizing, and displaying data), as well as the following which are specific to Penn State: iTwo (web-based tool used for data access, analysis, and distribution) LionPATH (Penn States student information system) Penn States Graduate Admissions Decision System (GRADS) Qualifications: Applicants must have excellent communication (both verbal and written), interpersonal, and attention to detail skills. Experience with creating databases or spreadsheets, materials in Canva, and social media content for a business or organization, as well as updating websites is also required.
