Job Description: Title: Bond/Surety Assistant Fully in office at our Farmingdale, NJ office. Please note: If this position is posted as either fully remote and/or hybrid, in accordance with company policy, individuals residing within a 50-mile radius of a branch location may be required to work onsite in a hybrid capacity. Additionally, there may be occasions when on-site presence is necessary to meet specific business needs. Learn more about our locations here: ioausa.com/locations About the Role:Responsible for implementation of and/or assisting with IOA Bond services activities, including: Client service and communication; maintaining individual productivity, quality, and service levels; client Bond administrative processes, including renewals, new Bond set-up, riders/endorsements, cancellations/reinstatements, invoicing, LPRs, and Bond review; data management/entry; managing incoming correspondence; internal service and communication; professional development; identification of sales opportunities; and general office administrative support. Key Responsibilities: Technical Competence:Maintain technical competence and industry expertise. Client Service:Always deliver outstanding client service, including proactively anticipating client needs, maintaining frequent and professional client communication, and responding quickly to any service requests. Administrative Tasks:Ensure accurate and timely completion of all Bond-related administrative tasks, including new and renewal Bond processing, ordering and processing policy riders/endorsements, executing any Bond cancellations and reinstatements, and generating and submitting client invoicing. Correspondence and Financial Management:Assist with management of all incoming mail, faxes, and other correspondence. Order and ensure timely receipt of financials as directed. Execute accurate check requests to the Accounting department. System and Data Maintenance:Maintain agency management system, ensuring all data entered is complete, clearly presented, accurate, and up-to-date. Monitor and maintain pending action items (suspense), taking any necessary action to ensure completion within required time frames. Office and Client Support:Willingly assist in any general office support/administration when requested or assigned. Assist in preparation and distribution of client finance agreements. Correctly process Lost Policy Release (LPR) as directed. Performance and Collaboration:Monitor individual performance to ensure productivity, efficiency, quality, and service standards are met, taking corrective actions when required. Work effectively with 1099 sales personnel, seeking input and developing win-win solutions to any operations-related process, service, quality, or productivity issues. Continuous Improvement and Compliance:Continually seek to improve individual and team performance, including identifying, communicating, and adopting best practices. Comply with all company work rules, standards, and policies and procedures at all times. Professional Development and Relationship Building:Grow and maintain technical competence and industry/market knowledge. Ensure professional skills are continuously improved by actively participating in internal/external development opportunities. Develop and maintain positive, productive relationships with IOA leadership, peers, co-workers, teammates, and employees. Champion IOA Values:Demonstrate integrity and leadership.
