Where you come in: The successful candidate will provide assistance to the site leadership team by coordinating a wide variety of administrative and operations functions including schedule management, travel management, assisting and leading various projects, creating meeting agendas and material, and acting as a liaison to all internal and external entities. Where you come in: Provides assistance to the Vice President of Engineering and Engineering Leadership by coordinating a wide variety of administrative functions including schedule management, travel management, and acting as a liaison to all internal and external entities. Manage all aspects of executives schedule including coordinating meetings, preparing agendas, Represents the executive by welcoming visitors and conducting them to the appropriate area or person; reviews correspondence; arranges company dinners and other corporate functions; answers questions and meeting requests directed to the executive. Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; and making adjustments to plans. Screens all incoming calls/messages and correspondence. Arranges corporate travel and meetings by developing itineraries and agendas; books other transportation; arranges lodging and meeting accommodations; manages expense reports while adhering to company policies and procedures. Handles sensitive information and maintains confidentiality of all personal and corporate matters. Makes high-level contacts of a sensitive nature internally and externally. Works with all levels of employees. And works closely and effectively with others to coordinate company events. Assists with onboarding the executives new hires that report directly to him. Orders and delivers catering for breakfast and lunch meetings. Coordinates offsite team meetings and team buildings. Creates a weekly e-newsletter that is distributed weekly to the entire Software Team 500 recipients. Orders and maintains supplies and arranges for equipment maintenance. What makes you successful Must have in-depth knowledge of company operations. Must have excellent written, verbal, analytical and interpersonal skills and has the ability to effectively and professionally work with all levels of employees. Must be accessible at various times outside of a typical workday and possibly weekends to make changes to travel and schedules. Must be available to travel to tradeshows for onsite coordination.
