Job Summary Summary The role is a vital member of the care team, responsible for exercising appropriate leadership and oversight of clinical operations and Medical Assistant staff throughout the assigned site or department under the direction of the Practice Manager. In addition to performing the duties of a Medical Assistant, the position serves as a role model and resource for site staff. Acting as a liaison between the site-based clinical staff, the Practice Manager, and the Medical Director or Physicians. The Lead facilitates office-wide communication, coordinates new clinical initiatives, and addresses clinical issue resolutions to enhance operational efficiency. Does this position require Patient Care? Yes Essential Functions -Assists in complex office-based procedures and provides clinical oversight for quality control programs. -Provide leadership to the medical assisting team, including training, mentoring, and performance guidance. -Assign tasks and responsibilities to team members, ensuring proper workload distribution and effective utilization of resources. -Foster a positive and collaborative team environment, promoting teamwork and professional growth. -Coordinate patient flow, ensuring timely and efficient delivery of care. -Assist with patient intake, including obtaining medical history, vital signs, and preparing patients for examination. -Participates in the interview process for new MAs and serves as a preceptor for new hires or students, supervising clinic support staff and creating coverage schedules for the MA team. -Assists with competency assessment for other MAs and provides input on performance evaluations. Qualifications Education High School Diploma or Equivalent required Can this role accept experience in lieu of a degree? No Licenses and Credentials Certified Medical Assistant - Data Conversion - Various Issuers required Basic Life Support [BLS Certification] - Data Conversion - Various Issuers preferred Experience Experience as a medical assistant, with demonstrated proficiency in clinical and administrative tasks 3-5 years required Knowledge, Skills and Abilities - Strong leadership and team management skills. - Comprehensive knowledge of medical terminology, procedures, and protocols. - Proficiency in electronic health record (EHR) systems and medical office software. - Ability to take vital signs, manual blood pressure, and collect blood samples and other specimens. - Excellent interpersonal and communication skills, both written and verbal. - Attention to detail and strong organizational abilities. - Ability to multitask, prioritize, and adapt in a fast-paced healthcare environment. - Knowledge of HIPAA and other privacy and security regulations. Additional Job Details (if applicable) Clinical Duties and Responsibilities: Obtain full set of vital signs, load radiology in Epic,. Document vital signs in chart and in Epic. Place vital sheet in front of chart for MD review. Review that most recent data is available for the MD and report any abnormal finding to the appropriate MD/Fellow/Resident or PA. Review all medications with patient including dosage, frequency and route and flag changes for clinical review. Confirm that all allergies, contraindications, reactions and severity of allergy are up to date and reviewed in Epic. Remove stitches, staples, steri-strips and dressings as directed by MD. Clean and re-dress dressings and feeding tubes, under MD direction/supervision reinsert tubes. Give breathing treatments to patients in clinic as needed and directed. Perform pulmonary function testing (PFT), oximetry (SaO2), 6 minute walk tests and EKGs as needed and send specimens to lab via shoot/transportation in timely manner. Document all results in Epic as appropriate. Assist MD/PA with all office procedures including Thoracentesis. Manage patient flow and page MD when necessary, this can include assisting in transporting patients to various departments as needed. Liaison between departments in the hospital and clinic for patient care. Arranges ambulance transportation as needed. Clean all exam rooms between each patient with the appropriate wipes and ensure that business cards are stocked Prepare clinic for opening: Daily calibration of PFT/Oximetry equipment, thermometers, scales and maintain logbooks. Daily check of medication refrigerator for medication amount, expiration dates and temperatures. Verify exam rooms are clean including the floor and stocked including linen, all lights are working, all schedules are posted, consult/MD offices are prepared, cabinets are unlocked, and clinic board is correct. Prepare clinic for closing: verify all exam rooms are cleaned and restocked. All cabinets are locked, all sharps containers are checked for volume, all computers are shut down and logged off. Create daily schedule on Magnatag board for following clinic. Print clinic schedules and post in designated locations. Prepare all paperwork for Attending to sign the next day. Process all disability forms, letters, home oxygen orders and medical paperwork. Responsible for all patient and outside company correspondence, including phone calls and messages, related to medical paperwork. All phone calls are to be returned within 1 business day. All correspondence, written and verbal, is to be document in Epic. Process all lab specimens, place all blood work orders and send all clinical specimens to the appropriate lab/department. Responsible for ordering all clinical supplies including respiratory and linens. Ensure adequate supply of forms. Send equipment for sterilization. Verify all equipment, supplies and medications are not expired. Assist with on-the-job training and support for newly hired Medical Assistants and Medical Assistant students. Works as a team member with all staff in the Department to ensure smooth operations, including participation in staff meetings and taking minutes as necessary. Administrative Duties and Responsibilities: In conjunction with the Practice Manager, oversees the daily activities of the MAs, including exam room allocation, triage of add-ons and assistance with coverage planning Creates a weekly MA schedule across the three Lung Center Clinics; taking into account planned time off and expected clinic volumes. Coordinates with MA team to create a coverage plan in the event of unexpected absences Assist clinic management with interviewing candidates for MA and co-op roles Take the lead in orienting and training new MA staff members Provide in-the-moment coaching of new and established staff Provide input to Practice Management for performance evaluation of MA team. Development and training of front end operations/processes to improve quality of patient experience. Identifies quality issues.
