Salary: $16.04 - $25.75 per hour commensurate with experience. Job Description Summary: This position will be responsible for providing support to attorneys in the Office of General Counsel with an emphasis on providing assistance with Outside Counsel contract administration process, as well as, serves as backup for bankruptcy, collections and write-off matters. Responsibilities: - Manage documents and all administrative duties for outside counsel related matters, including but not limited to website maintenance, intake, tracking, reporting, reviewing & processing invoices, electronic submission of requests to retain outside counsel, amendments and required forms through the Office of Attorney General Community Management System; work directly with The Office of the Attorney General, outside counsel firms, system offices, agencies and university officials on outside counsel matters; ensure compliance with outside counsel guidelines, policies, requirements and procedures; assist in request for qualification process for outside counsel. - Serve as backup for the bankruptcy, collections and write-off administration processes, which includes management of documents and all administrative duties for bankruptcy, collections and write-off matters, including but not limited to intake, tracking, reporting and reviewing pending bankruptcy, collections and write-offs for assigned attorneys. - Review incoming correspondence for responses required, deadline dates, scheduling of meetings, etc. - Prepare standard letters and forms and draft routine correspondence. - Prepares draft significant matter reports. - Finalize attorneys' correspondence, legal opinions, contracts, reports and other legal documents. - Prepare responses to subpoenas. - Maintain detailed database file on each active file, including all incoming and outgoing correspondence. - Maintain attorneys' calendar, schedule appointments, and coordinate meetings. - Coordinate attorneys' travel arrangements, prepare travel and leave forms, and submit expenses for attorneys' reimbursement. - Answer telephone, direct requests and/or take messages. - Prepare conference rooms and setup for meetings. - Greet clients/visitors. - Other duties as assigned. Education and Experience: - High school diploma or equivalent combination of education and experience. - Six years of related experience. Knowledge, Skills and Abilities: -Knowledge of word processing, spreadsheet, database, and presentation applications. - Interpersonal and communication skills. - Planning and organization skills. - Ability to multitask and work cooperatively with others.
