Join Our Team as Library Administrative Coordinator Are you organized, service-oriented, and enjoy being part of a collaborative team? The Miley Library is looking for a Public Services Coordinator who thrives in a dynamic environment and enjoys supporting students, faculty, staff, and community members. In this role, youll support the Dean of Learning Resources and help lead the librarys public service operations. Youll coordinate front desk coverage, assist with budgeting and purchasing tasks, help plan service initiatives, and provide hands-on support to library patrons. JOB SUMMARY: Under general supervision, this position coordinates efficient public services at the Miley Library. Duties include: providing administrative support for Learning Resources, such as budgeting and record maintenance; submitting orders, managing materials and supplies, and providing high quality customer service to library patrons including students, staff, faculty, and community members. SPECIFIC DUTIES AND RESPONSIBILITIES: Provides support to the Dean in the supervision of the public services staff, including staff training, scheduling public service desk shifts, developing new procedures to improve customer service, resolving escalated customer issues, and motivating library staff to meet goals (25%) Collaborates with faculty librarians and the Dean to develop and implement public service projects and programming. (20%) Serves as a part of the College library public service team, which includes providing excellent customer service to all library patrons and assisting students with basic technology questions. (15%) Provides budgetary and purchasing support to the Learning Resource Division, which includes preparing library budget requests; verifying procurement card transactions; creating requisitions; preparing spend authorizations and expense reports; managing purchase orders and encumbrance balances; reconciling accounts; preparing library invoices for payment approval; and entering transactions into Workday, among other tasks. (20%) Collects data and prepares reports on library/learning resources usage. (10%) Completes all other duties and responsibilities as assigned. (10%) QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS: Associate degree from an accredited institution; Exceptional customer service, time management, organizational, and interpersonal skills; Knowledge of standard budgeting, purchasing, and receiving procedures. Knowledge of library operations and library resources. Understanding of FERPA, HIPPA, and other laws and college policies requiring confidentiality. Proven knowledge of Microsoft Office and Windows-based computer applications; knowledge of applications including computer applications used by the College and the library. Ability to be accurate, pay attention to details, be self-motivated, make decisions, be diplomatic, work independently as well as with others, and use sound judgement. This position includes some night and weekend shifts, as scheduled. PHYSICAL DEMANDS: This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, copier, fax, calculator, telephone, and other equipment as necessary.
